Care Co-ordinator/ Staff planner
Atrium are currently supporting an Organization that support Adults with Learning difficulties and Autism based in Essex. We are looking for a Care Coordinator/ Staff rota planner to join the team and manage the rota and staff across 19 supported living sites in Essex. As the Staff Planner you will also have the support from an experienced and knowledgeable management team consisting of a Registered Manager, Deputy Manager and three Service Support Managers as well as an inhouse Finance and Admin team.
 
Duties:
·Having an understanding of the care needs of each service and ensure that the right staff skill mix is met for the needs of each service
·To have an up-to-date service hours and staffs contracted hours list for all services and ensure it is kept updated.
·Co-ordinate and check that all rotas for all services are completed and that they have the correct contracted hours and staff skill mix to meet the needs of the service users
·To ensure that all service users have their 1-2-1 hours allocated on the Rota
·Ensure that all rotas are planned 6 weeks in advance and that all rotas from the previous week are with the finance team on a Monday morning by 9am and that all changes from the rotas are reported.
·Ensure rotas are added to house rota system by the Senior and that they are accurate and approved, also to check daily for any adjustments made and have an overview of any changes made.
·To support all services with their Rota management where required to do so.
·Manage staff sickness, return to work meetings and keep an accurate record of individual staff sickness following the company sickness and absence policy, taking appropriate actions where needed.
·Managing long term sickness in line with the companies sickness and absence policy.
·Manage maternity / paternity / adoption leave.
·Manage keeping in touch days.
·Managing all services' annual leave in line with company policies and ensuring that all services are covered and that a Matrix is in place to manage staff annual leave efficiently.
·Ensure that the in house rota system is updated and diary entries made to keep up to date records of staff actions.
·Manage agency usage and ensure that all agency staff inductions are completed.
·To complete staff planner weekly forms & compliance matrix with up-to-date information required by the senior management team to give an overview of the business.
·Maintain accurate Matrix and filling systems.
·To attend senior monthly meetings and management meetings when required to do so.
·On-call as per on call Rota 1 week out of 4 (includes covering weekends)
Experience:
·A strong administration background in Healthcare or Recruitment
·Strong Administration skills and a good attention to detail
·Experience working with Staff Rotas
·Good Organisation with the ability to multitask and prioritise workload
·Good People skills and be approachable
·Competent using Microsoft Office such as Excel & Word
·Driving licence required due to travel to meetings
